Audio Visual Chairman

A quick overview of the management structure of the Australian Photographic Society

The Management Team is a two tiered system of governance.

The Management Committee (MC) comprises 7 individuals with voting rights. All members of this MC team are encouraged to participate in full discussion in the general meetings.

The MC comprises of an Executive Committee - President, Senior Vice President, Junior Vice President and Immediate Past President. The other 3 positions are General Members. It is anticipated the General Members will have a portfolio.

The Society has 6 Divisions - Audio Visual, Contemporary, Digital, Nature and Youth. Each Division Chairman has automatic placement as an ED. The MC may constitute subcommittees at any time and may, at their discretion, give the Chairman of the Subcommittee a place on the ED.

Position of Audio Visual Division Chairman

The Audio Visual Division welcomes all members interested in the art of audio-visual making. It is chaired by the Audio Visual Chairman, which is an Executive Director position in the Society.

A full Policies and Procedures Manual is available to assist the applicant in this position. Additionally, support will be provided by the Management Team and Business Manager.

Primarily the applicant will need to:

  • Uphold the Constitution of the Society.
  • Strive to continually improve the organisation's policy, activities and administration.
  • Represent the Society to the outside world.

The applicant will be expected to:

  • Be responsible for the conduct of Audio Visual Division.
  • Authorise expenditure of funds allocated to the Division from the overall APS budget.
  • Prepare a budget for the Division each year.
  • Keep a record of accounts for personal reference.
  • Sound out suitable persons and enlist them to assist you on the AV Division Subcommittee.
  • Consult with Division Subcommittee (Council) on AV matters, for example changes to the AV Division Manual and updates;
  • Periodically update the information on the AV page of the website through the Web Manager.
  • Correspond with any members making an enquiry; also correspond with counterparts in New Zealand and South Africa;
  • Assist the Newsletter Editor with information to go into the Newsletter, and provide him/her with up-to-date email addresses.   Write the “Message from the Chair”.
  • Have computer and internet access and be prepared to use it for communication between the Management Team (both email and web).
  • Organise 2 National AV Exhibitions per year, Autumn and APSCON. More specifically:

Autumn National:-

  • Design entry form, arrange 3 judges, submit to Exhibition Services;
  • Request Approval for Nationals from Exhibition Services – (Nine months ahead);
  • Arrange equipment, technical assistance and other help (if necessary), book venue for whole day;
  • Arrange catering for judges and assistants
  • Decide on either small admission charge or raffle to help cover expenses, organise small gift for judges.
  • Prepare program, running sheets and judges score sheets for judging day and supervise;
  • Send reports immediately after results are known;
  • Request awards from Exhibition Services;
  • Retain all receipts and accounts for later submission to APS Secretary for reimbursement;
  • A Catalogue is an APS requirement – design and print, send to entrants with acceptance cards , awards and any entries to be returned.

Apscon National:-

  • Design entry form, arrange 3 judges, submit to Exhibition Services;
  • Request Approval for Nationals from Exhibition Services – (Nine months ahead);
  • Arrange equipment, technical assistance and other help (if necessary), book venue for whole day;
  • Arrange catering for judges and assistants
  • Decide on either small admission charge or raffle to help cover expenses, organise small gift for judges.
  • Prepare program, running sheets and judges score sheets for judging day and supervise;
  • Liaise with APSCON Committee with regard to reports, catalogue etc.
  • Retain all receipts and accounts for later submission to APS Secretary for reimbursement;
  • Judging results sent to Director of APSCON together with CDs for showing;
  • Liaise with APSCON Committee with regard to program and technical requirements;

APSCON:-

  • Organise AV Division Meeting, including co-opting a Secretary, prepare agenda and chairing the meeting;
  • Discussion on the year past and to follow.
  • Attend Management Meeting - usually the day before the Convention starts. (Executive Officers do not have a vote, but are encouraged to express opinion);
  • Prepare a one half hour presentation for “AV Division Presents”– this can be a lecture, showing of international AVs, etc;
  • Prepare the program for the showing of all AV acceptances during evening session;
  • Offer a vote of thanks to Keynote Speakers if required by the Organising Committee;
Correspondent for Image Magazine:- Bi-monthly - 15th Jan, March, May, July, September, November.
  • Liaise with individual members for images from an AV (5 or 6) to be displayed on the “AV Gallery” page.
  • Write one article for “Division News”, about half a page.

  • Good standing in the community.
